What is the Requests functionality?
Requests or Request Information is a Voyager functionality, released in July 2022, that allows you to send emails from the portal, to ask your stakeholders for documents, updates or other information, whether they are Voyagers users or not.
The emails are from Voyager Portal (same as the workflow-tasks notifications).
How does it work?
The feature has its own tab: Requests, that appears within the Voyage page.
Responsible parties will receive a Voyager email with a URL (a link) to fulfill, submit and send the requested info.
Responsible parties who do not have a Voyager account, or permissions, will only be able to submit the information via the URL, but will not have access to the portal.
Requests tab
The Requests tab is located within the individual voyage page.
Under this tab you will be able to:
Send emails using the Request Info button
Monitor the Received and Sent requests, with details of Source, Task, Responsible, Status, and Deadline.
Request info also has shortcuts under:
Schedule tab
Documents tab
Request Information
When sending a request, you will be prompted to fill the following details:
Request Type (schedule update, document, other)
Responsible (email)
Request Title (subject)
Optionally, you can add:
Viewers (email)
Description (email body)
Deadline (based on selectable events)
The URL message
The email sent will contain a link, or URL, that will display as shown in the image.
Once the form is filled, or the documents uploaded, the responsible just needs to click on Submit, and the information will be sent back to Voyager.
The voyager owner will see a Status indicating the progress of each request:
Unviewed
Viewed
In Progress
Completed
Monitoring requests
You will be able to monitor all of your Sent and Received requests through the Tasks section - Requests tab.
The Dashboard view will also contain a card, indicating if you have Received requests that need to be addressed.
